STORY BEHIND THE FEATURE

Imagine a community association where members have varying levels of engagement. Some members are actively involved in day-to-day operations, while others primarily interact through a portal. The challenge lies in effectively managing access rights for these members as their engagement levels fluctuate.

ODOO'S FUNCTIONS

Odoo's current approach does not allow for switching between internal and portal user roles - a direction to help control regional community. This can lead to a suboptimal user experience for network and NGO. 

 

CLUEDOO'S FUNCTIONS

With Cluedoo, portal users will have access to internal system through "Full User Request". Their status will be switched from portal to internal, initiating a temporary period of full user access. The duration of this internal user access will be determined by the user's pre-selected time frame. After the specified time has elapsed, the user will automatically revert to their portal user status.  
CLUEDOO RECOMMENDATIONS

Utilize Cluedoo's User Dynamic Management module to create specific groups for different levels of member engagement (e.g., active members, casual members, community leaders) can implement a mechanism to automatically assign members to the appropriate access group based on their level of engagement or specific activities within the community.



HOW TO USE THIS MODULE

1. 

Go to user with Settings/User & Companies/User > Inactive Users to create access right for internal user 






Choose Template For Internal From Portal > Set up access right and groups of a specific position for internal user switching from portal



2. 

Go to user with Settings/User & Companies/User > Inactive Users to create access right for portal user 

Archive user, this user is used for template purpose only.

3. 

Go back to Settings Users, leave the search bar blank to set up access right for portal user.



4. 

Assign template for user by click on Assign Template Access.

In this case, our template is Portal User Template



5. 

Tick on Allow Portal Access Internal and Enable idle time to give portal user access right of internal user.​

6. When Allow Portal Access was chosen, on portal, there is a Switch to Internal User button to allow user to switch to internal system. 


Otherwise, if users log out from internal system, it will automatically go back to portal user.


7. There will be idle time in the upper right corner. If you do not have any movement or activity on this page, it will automatically go back to portal user.


8. If you want to set maximum number of portal user can switch to internal in X time

Settings > Users > Set up  Max Portal User Can Login and Time limit

Time limit case

Time limit = 5 minutes 

Max portal user = 1

  • portal user 1 login at : 10:40
  • if portal user 1 login at 10:40 + time limit which time limit is 5 so, 10:40 - 10:45
  • portal user 2 cannot login at the time (ie 10:40-10:45)
  • after 10:45 , portal user 2 can login although portal user 1 stills stay in internal after 10:45 (if portal user 1 is still doing his work)
