STORY BEHIND THE FEATURES
ODOO'S FUNCTIONS
Odoo allows you to link a profile to a user. It also allows you to link two addresses (working and private) per employee without any integration between these 3 potential profiles and/or addresses.
cluedoo'S FUNCTIONS
Your employee has a work contact (<Your Company>, <Employee name>) with the potential to add an Odoo user as well as a private contact.
Cluedoo formalizes this organization by linking the work contact to the user profile, whether any user linked to the employee already exists or needs to be created.
On the private contact side, Cluedoo adds some required private information and strengthens the access with a specific access right to provide more confidentiality.

Useful for HR Officers to better understand and configure employee profiles vs user profiles in Odoo. It allows for more control in the confidentiality of private information for all employees.

Configure the Personal Information of an Employee
HOW TO USE THIS MODULE

When we create a new employee and set the name, it will also automatically set the last name and first name.

We have the Related User field where we can designate a user profile to the employee profile.

When we set the Date of Birth, it will automatically set the age in years and months.

We also have a family member section with information to fill out such as name, address, phone number, and the relation to the user.

We can also set an Alternative Contact.
RELATED PARTNER
If we create the user first, then create the employee, the address of the employee will automatically be updated per the user information. This can be seen under the Work Information > Work Contact field in the employee profile.
PRIVATE CONTACT AS PARTNER IN EXPENSES/PAYROLL
Go to Employees > Choose a contact > Private Information > Private Contact > Contact and fill in the private address
A. EXPENSES
1. Go to Expenses > My Expenses > New and create a new expense > Fill in the necessary information > Create Report > Submit to Manager
2. After the journal entries have been posted, you can check that in the Vendor Bill, the address has been changed from Work Contact to the employee's private address, ensuring clarity and accuracy.
B. PAYROLL
1. Go to Payroll > Contracts to set up a contract for the employee
2. Go to Payslips > Payslips to pay > New > Fill in the necessary information > Compute Sheet > Create Draft Entry > A payslip has been created with draft entries for the period
3. Click Other Info > Accounting Entry to view the draft entries
In Journal Items, Partner has been changed from Work Contact to employee's private address.
C. BANK ACCOUNT
Head back to Employees > Private Information > Add a Bank Account Number
It will also be added to the Private Contact under Accounting > Bank accounts
AUTO CREATE PRIVATE CONTACT WHEN CREATING EMPLOYEE FROM RECRUITMENT
1. Go to Recruitment > Applications > All Applications > New to create a new one > Fill in the necessary information
2. Sign the contract (stage changed to Contract Signed) > Create Employee
When the employee is created, Work Mobile/Phone/Email will be empty because it is not their private information.
Under Private Information > Private Contact, you will see the employee's Contact has been automatically added with information from Recruitment.
If you fill in the address in Contact, it will be automatically added to the Private Address.
